A Receipt Voucher records money you have received into a cash or bank account, such as a customer payment, rent collected or other income.
When to use it
- A customer or tenant pays you and the money goes into your bank or cash.
- You receive miscellaneous income.
Before you start
- The receiving account (your bank or cash) and the account the money came from (the customer or income account) must already exist in your Chart of Accounts.
- You need an accounting role to create and post the voucher.
Where to find it
ERP > Accounts > Receipt.

Adding a record
- Open ERP > Accounts > Receipt and click Add.
- Set the Miti and write the Remarks.
- Choose "Received In" (your bank or cash) and "Received From" (the customer or income account).
- Enter the Amount.
- Click Save, then open the voucher and click Post.
Receiving a cheque
- Set Received In to Cheques in Hand. Whoever writes the receipt rarely knows which bank the cheque will be banked into, so that is chosen when it is deposited.
- Put the cheque number in Reference No, the customer's bank in Cheque Bank, and the date written on the cheque in Cheque Date (BS). A future date makes it a post-dated cheque, which stays off the deposit list until that date.
- Save. When the voucher is posted, the Post dialog asks:
| Question | What to answer |
|---|---|
| Payment Method | Cheque (A/C Payee) or Cheque (Bearer). There is no default. If Cash is chosen for a cheque, the cheque is never tracked. |
| Cheque No. | The cheque number. You are warned if it was used before. |
| Against held PDC cheque | Offered when the customer has a held cheque still open. Pick it to link this receipt to that cheque. What happens depends on the money. A bank receipt (IPS) for the cheque's whole outstanding balance deposits the cheque: it moves to Cheque Clearance, in clearing, as this receipt's cheque. A Cheque-method receipt for the whole balance is that cheque being posted. The captured record becomes this receipt's cheque (one row, keeping its scan, acknowledgment and history), booked in Cheques in Hand, or cleared at once if Banked Into applies. A cash receipt, or any receipt for part of the balance, records a part payment against the held cheque. In the first two cases the receipt becomes the cheque's own voucher and carries the cheque's scan, so the ledger's File column shows it. |
| Banked Into | Leave it blank and the cheque waits in Cheques in Hand until it is deposited. If you fill it in for a cheque dated today or earlier, the money goes straight to that bank and the cheque is marked cleared at once. |
| Money Arrived On | The day the money reached the bank, when you name the bank. |
After posting, you follow the cheque on Cheque Clearance: deposit, clear or bounce.
Changing or deleting a record
- A Draft can be edited or deleted.
- A Posted voucher is on your books. Use Reverse/Unpost to return it to draft, then edit and post again. Cancel a draft you no longer need.
Worked example
Rent of 50,000 received from a tenant into Global IME Bank:
- Miti: today. Remarks: "Rent received from RT Tenant 01".
- Received In: Global IME Bank - 555. Received From: RT Tenant 01 (Rent Debtor). Amount: 50000.
- Save, then Post. Your bank goes up by 50,000 and the tenant's outstanding goes down by 50,000.
Tips and common mistakes
- Pick the right direction. "Received In" is your bank or cash; "Received From" is the source. If you swap them, the entry is reversed.
- The Amount must be greater than zero, with at most 2 decimal places.
- The Voucher Number may be blank when you save. Type one in if your office needs a running number.
- Nothing affects your accounts until you Post.
