Total gross, deductions and net pay grouped by department.
When to use it
After a payroll run, to see what each department cost, and to hand a department head their own figure without showing them individual pay.
Before you start
- Salary slips must have been generated for the period you want.
- Staff must be attached to a department, or their pay is not grouped anywhere.
- You need report access for Human Resource.
Where to find it
Reports > HR & Payroll > Department-wise Salary. It is also on the menu under ERP > Human Resource.
The fields on this screen
| Filter (on screen) | What it does |
|---|---|
| Employee | Limit the report to one employee. Leave it blank to include everyone. |
| Payroll Period | Limit the report to one payroll period. Leave it blank to include every period. |
| Department | Limit the report to one department. Leave it blank to include every department. |
| Branch | Limit the report to one branch. Leave it blank to include every branch. |
Reading the report
- One row per department. Gross is the total of the earning lines on those salary slips, overtime included. Deduction is the total of the deduction lines.
- Net is what the staff are actually paid: gross, less deductions, less the cut for unpaid leave. So Gross minus Deduction does not always equal Net. Where the two disagree, the gap is the unpaid leave cut.
- Set Payroll Period before you read any figure. Left blank, the report adds up every period ever run, and a twelve-month total then looks like a monthly cost.
- Departments with no pay in the chosen period do not appear at all.
Tips and common mistakes
- Choosing both an Employee and a Department narrows to the overlap of the two, which is often nothing. Use one at a time.
- To see the individual slips behind a department total, run Salary Sheet with the same period and department.
