A Goods Receipt Note (GRN) records goods you have received into your store against a Purchase Order. It brings the items into stock. It is not the bill: the supplier's invoice (Purchase Invoice) is a separate step.
When to use it
- A delivery has arrived against a purchase order and you are taking it into stock.
- You want a record of what was received before the bill is processed.
Before you start
- There should be an approved Purchase Order to receive against.
- The products must exist in the Product master.
Where to find it
ERP > Inventory > Goods Receipt Note.

How it works
- Create the GRN. Add the received items, or use Pull from approved POs to copy the ordered lines and then change the quantities to what actually arrived. Save.
- Submit, then Receive. The goods are taken into stock.
- Close the GRN when you are done. You can Cancel a draft.
You record the bill separately on a Purchase Invoice, which can pull from this received GRN.
Tips and common mistakes
- Every line needs a Product and a Qty.
- A GRN does not record the bill. It brings goods into stock, and the Purchase Invoice books the amount you owe.
- For now you type the GRN number yourself. Automatic numbering is not switched on for this screen yet.
