BOQ / Tender Schedule

Last reviewed

The contracted bill of quantities for one project: the agreed list of work items, with the quantity and rate you signed for. Every progress bill is measured against it.

When to use it

Once, at the start of a project, when the tender schedule has been agreed and you want progress billing to be checked against it.

Before you start

  • The project must already exist and be marked as a project on the Projects master. A plain cost centre is not offered in the Project list.
  • The units your lines are measured in must exist on the Unit of Measure master.
  • You need create rights on this screen.

Where to find it

Entry > Construction > BOQ / Tender Schedule.

How it works

Saving records the schedule header. Its lines sit under it as a tree: heading lines that only group, and item lines underneath that carry the unit, quantity, rate and amount. Only the item lines are priced.

The quantities you enter are the contracted baseline, and they are not meant to change afterwards. Work that was not in the contract is added later as a Variation Order. That raises its own lines instead of editing the original ones, so the original tender figures stay readable.

An RA Bill then draws against these lines. Each bill line names the schedule line it is billing, and the system keeps a running total of how much of that line has been billed so far. A draw that would take a line past its contracted quantity is refused, and a partly billed line shows what is left. BOQ vs Actual reports on exactly this.

The schedule itself posts nothing to your accounts. It is a contract record, not a financial one.

Tips and common mistakes

  • The Project list is empty until at least one cost centre has been marked as a project.
  • The BOQ number is your own reference. It is not numbered for you.
  • Pick both dates. On this screen the Gregorian date beside the Miti is not filled in for you.
  • The list opens on the current fiscal year. Widen the From and To dates to find an older schedule.
  • A heading line with a quantity or rate on it is a mistake. Put the money on the item lines.
  • An item line's quantity cannot be negative; it is refused at entry. A contract quantity is never negative. If work was left out of the tender, correct it with a Variation Order line, not by making the original quantity negative.
