RA Bill Register

Last reviewed

One row per running account bill, showing the gross certified, retention withheld, other deductions and net payable.

When to use it

To follow what you have claimed from a client across a project, and to see how much of it is being held back.

Before you start

  • RA bills have been raised against the project.
  • Retention and any other deductions are set up as billing terms. That is how the report tells them apart.
  • You need view access to the Construction reports.

Where to find it

Reports > Construction Co. > RA Bill Register.

The fields on this screen

This report has no filter controls. Use the column search above the grid to narrow it to one project, client or status.

How it works

  • One row is one bill. Gross, Retention, Other Ded. and Net each have a total at the foot.
  • Gross is the sum of the bill's own work lines. Retention is the total of the deduction terms marked as retention. Other Ded. is every other deduction term on the bill.
  • Net is Gross less Retention less Other Ded. It is what the client is being asked to pay now, not what the work is worth.
  • Items counts the work lines on the bill, a quick check that a bill is not empty.
  • Status reads Certified once the bill is posted and Cancelled if it was cancelled. Everything else reads Draft or Submitted. The register cannot tell those two apart, so a bill waiting for the client's approval looks the same as one nobody has finished typing.
  • Unposted bills are listed too. Add up only the Certified rows when you want what has actually been claimed.
  • Retention here is what was withheld on that bill. For what is still outstanding and how old it is, use the Retention Ageing report.

Tips and common mistakes

  • The foot totals are not the project position, because they add drafts and certified bills together. Filter Status to Certified first.
  • A bill with Gross but no Retention usually means the retention term was not added to it. Compare it with another bill on the same project.
