The same per-item ledger with a running balance as the Stock Ledger, but with the quantities restated in the unit you choose: gram, kilogram, ton, or any unit in the same family.
When to use it
When the item is held in one unit but you talk about it in another: stock kept in kilograms but ordered in tons, or held in pieces but sold by the dozen.
Before you start
- Pick the item and the unit first. Neither can be left blank.
- The unit you want must have a conversion set up to the item's own stock unit.
- You need report access for Inventory.
Where to find it
Reports > Inventory > Stock Ledger by Unit. It is also on the menu under ERP > Inventory.
The fields on this screen
| Filter (on screen) | What it does |
|---|---|
| Show in Unit | Restates quantities in this unit. Base Unit shows each item in its own stock unit. |
| Item | Pick the item this report is about. |
| From Date | Start of the period this report covers. |
| To Date | End of the period this report covers. |
| Organization | Limits the report to one organization. Leave it blank to include every organization you can see. |
The report opens with its filters ready and waits for you to click Apply, so pick an item first. If you open it by double-clicking a product on a voucher, it runs straight away.
Reading the report
- In Qty, Out Qty and Balance are the ordinary ledger figures multiplied by the conversion rate for the unit you picked. The Unit column tells you which unit you are reading.
- Value does not change with the unit. Money is money however you count the goods, so Value stays the same when you switch from kilograms to tons.
- Balance is a running total and includes everything from before your From Date. The movement columns are per line; only Balance adds up as it goes.
- Entered Qty and Entered In still show what was typed on the original document, so you can see the conversion on each line.
- Only items whose stock unit converts to the unit you chose are listed. If a familiar item is missing, the conversion between the two units has not been set up.
- Set Organization to one value. Without it, an item held in two organizations gives two separate running balances in one list.
- Unit Mismatch flags a line whose entered unit has no conversion to the item's own unit. Its quantity was counted as if it were already in the item's unit, so the balance below a flagged line cannot be trusted. Fix the unit conversion, then run the report again.
- Goods Receipts are not stock movements and do not appear. Draft documents do.
Tips and common mistakes
- Choose Base Unit to get the plain ledger back without switching screens.
- A balance that looks a thousand times too big or too small almost always means the wrong unit was picked, not bad data.
