Enrollment

Last reviewed

Puts one learner on one course. It tracks how far that person has got, and it earns them a certificate at the end.

When to use it

When somebody has to take a course: a new joiner on the induction, a driver on a safety refresher, or a whole shift put through a machine course one row at a time.

Before you start

  • The Course must exist and already have its lessons, so the learner is not enrolled on a moving target.
  • The learner must exist in the list you name under Learner Type: a user, an employee, a student, or an external contact.
  • You need create rights on this screen.

Where to find it

Knowledge and Training > Enrollment.

The Knowledge and Training group is switched off in the main menu for now, so the entry is not shown. Until it is switched back on, open the screen from a link someone sends you or from a saved bookmark.

The fields on this screen

Field (on screen) What to enter Required
Course The course this learner is put on. Its lessons decide when they are finished and get a certificate. No
Learner Type Which kind of learner this is: User, Employee, Student or External. It says what Learner ID points at. No
Learner ID Id of the user/employee/student/external record No
Enrolled At (not explained yet) No
Due Date The date the course should be finished by. It shows on the list, but nothing chases or blocks on it. No
Status Where the learner stands. It moves itself to In progress and Completed as lessons are ticked off. No
Source (not explained yet) No
Final Score The share of the course finished, as a percentage. It is filled in for you on completion. No

How it works

A new enrolment starts at Enrolled. As Lesson Progress rows are marked Completed and the course totals are worked out again, the status moves on its own to In progress. It moves to Completed once every lesson in the course is finished.

On completion three things happen together. The status becomes Completed, Final Score is filled with the share of the course finished, and a certificate is issued for the learner. The certificate's expiry comes from the course's Validity (months).

All of this moves only when the totals are worked out again, not when somebody saves a progress row. No screen in this module does that. When you need an enrolment's status brought up to date, ask your administrator to run the course completion check for it.

Later, when a certificate passes its expiry date, the recheck sweep marks the certificate Expired and sets this enrolment back to expired. That is your signal to retrain the person.

Tips and common mistakes

  • Due Date shows on the list, but nothing chases it. Nobody is reminded and nothing is blocked when the date passes.
  • Set Learner Type before Learner. The type says which list the learner is taken from, and changing it afterwards leaves the wrong person attached.
  • Do not type Final Score yourself. It is filled in on completion, and anything you type is overwritten the next time the totals are worked out.
