A Sales Estimate is a price quote you give a customer before any sale is agreed. It lists the products, quantities and prices. It does not affect your accounts or stock; it is only the quote. When the customer accepts, you can turn it into a Sales Order.
When to use it
- A customer asked for a quotation and you want a numbered estimate on file to send them.
- You want to track which quotes were sent, accepted or expired.
Before you start
The customer must exist in your Chart of Accounts, and the products you are quoting must exist in the Product master.
Where to find it

How it works
- Create the estimate: pick the customer, add the item lines, and save. It gets a number (SE-...).
- Send it to the customer.
- When they agree, mark it Accept, then Convert it into a Sales Order to go ahead. If they do not respond, it can Expire. You can Cancel at any open stage.
Nothing is posted to the accounts or stock at the estimate stage. That happens later, on the invoice.
Worked example
Quote 10 Steel Rods at 150 each to Lalitpur Retail:
- Create: Customer = Lalitpur Retail, line Product = Steel Rod, Qty = 10, Rate = 150 (Amount 1,500). Save. The estimate is numbered SE-000001.
- Send it. When it is accepted, Convert it to a Sales Order.
Tips and common mistakes
- Customer, Date, Site, and each line's Product and Qty are required.
- Do not type the estimate number. Leave it blank and the system assigns SE-...
- The customer field accepts only a real Customer, never a Vendor from your Purchase side.
- You need at least one product line to save. Quantity, Rate and Amount must be real numbers greater than zero.
- An estimate is not a sale. It does not reduce stock or post revenue; the Sales Invoice does that.
