Every bill this workspace has put through automatic reading, whether or not it has become an entry yet. It also has the box you upload a new bill into.
When to use it
When you want to send a bill for reading, or when you are looking for one that never turned into an entry. The Document Pipeline screen starts from the entry, so a bill with no entry cannot appear there. This screen starts from the document, so it can.
Before you start
The AI document add-on has to be switched on for your workspace, and you need viewing rights on this screen. Your workspace must also be linked to an automation account. If it is not, the screen says so in place of the list, so you never see somebody else's documents.
Where to find it
AI > Documents.
How it works
- Upload a bill takes a PDF or a photo. The file is checked here first, so a file that would be refused is refused straight away with the reason. Then it is queued for reading. Reading costs money.
- The counters show how many documents there are, how many have no entry against them yet, and how many sit in each state: pending, queued, processing, in review, completed or failed.
- Click a row to open the document with what was read off it, section by section. You can see what the reading actually says before anyone acts on it.
- Reprocess runs the reading again for that one document, and costs the same as any other reading. Process now appears only on a document still waiting in the queue, and moves it to the front. It costs the same, not extra.
- Nothing on this screen posts anything. A document becomes an entry either through a fill on the Document Pipeline, or by being approved from the Review Queue or the Exception Queue.
Tips and common mistakes
- A document with no entry beside it is not an error in itself. Usually the reading has not finished or nobody has approved it yet.
- Uploading is not the same as entering. The upload only queues the bill for reading.
- Reprocess a document when the reading is plainly wrong, not when it is only slow. A queued document is already on its way.
