Payable Ageing

Last reviewed

A list of every supplier you owe money to, with the amount split by how overdue it is: Current (not yet due), 1-30, 31-60, 61-90, and 90+ days, plus a total per supplier and a grand total at the bottom.

When to use it

For planning payments and managing cash: to see what is due now against what is badly overdue, and to decide which suppliers to pay first.

Where to find it

It is in two places, and both open the same report: Reports > Ageing > Payable Ageing, or Reports > Finance > AP Aging.

Before you start

  • Purchase bills and payments are entered and posted. The report ages what is still open.

Running the report

  1. Open the report from either menu.
  2. It lists each supplier with their outstanding split across the age buckets, and a total row at the bottom for each column.
  3. Choose the active organization (or "All") to scope the figures.

Reading the result

  • Current is not yet due. 1-30 / 31-60 / 61-90 / 90+ are more and more overdue.
  • Total Outstanding on each row is the supplier's full open balance. The footer row totals each column.
  • The older buckets are the bills to clear first to keep suppliers onside.

Tips and common mistakes

  • The report ages open billed amounts. Advances paid to suppliers or opening balances not tied to an open bill may not appear here, so the grand total can be slightly less than the supplier's raw ledger balance. Check the Vendor Ledger for the full account movement.
  • Only posted vouchers count.
