Item-by-item detail of the goods you have sent back to suppliers on posted Purchase Returns, with the quantity and value of each returned line.
When to use it
When you agree a credit with a supplier, and at month end to see how much of what you bought went back.
Before you start
- Purchase Returns must be entered and posted. Drafts do not appear.
- You need report access for Procurement.
Where to find it
ERP > Procurement > Purchase Return.

Reading the report
- Each row is one returned item line, not one return document.
- Qty and Amount show as positive figures, even though the goods are leaving your store and the supplier owes you money. Read them as "how much went back", not as a negative purchase. Both are totalled at the foot.
- Rate and Amount are the landed figures. That is the line value plus its share of any extra charges on the return document, not plain quantity times rate. On a return with no extra charges the two are the same.
- A return that was entered but not posted does not appear here at all.
- A posted return shows up in two other places. It takes the goods back out of stock, so you see an outward movement on the Stock Ledger. It also reduces what you owe the supplier.
- Nothing here is netted against the original purchase. To compare, run the Purchase Invoice report for the same dates and read the two side by side.
Tips and common mistakes
- The quantity total mixes items measured in different units. Read it only after narrowing to one item.
- If a return is missing, check that it was posted before you check the dates.
