Total tax deducted at source per employee, added up across payroll periods.
When to use it
At tax-filing time, and whenever a member of staff asks how much tax has been withheld from their pay so far.
Before you start
- Salary slips must have been generated, with the tax component attached to the people concerned.
- You need report access for Human Resource.
Where to find it
Reports > HR & Payroll > TDS Summary. It is also on the menu under ERP > Human Resource.
The fields on this screen
| Filter (on screen) | What it does |
|---|---|
| Employee | Limits the report to one employee. Leave it blank to include everyone. |
| Payroll Period | Limits the report to one payroll period. Leave it blank to include every period. |
| Department | Limits the report to one department. Leave it blank to include every department. |
| Branch | Limits the report to one branch. Leave it blank to include every branch. |
Reading the report
- There is one row per employee. Total TDS is the sum of the tax lines on that person's slips, for whatever range the filters allow.
- If you leave Payroll Period blank, you get the running total for all time. That is usually what you want for a tax certificate. Set a period only when you want one month.
- Cross-check before you file. The report reads one single pay component, chosen when the report was set up, not by name. If that setting does not point at your Tax Deducted at Source component, the figures will be wrong or the report will be empty. Run Salary Pivot for one person and the same period and read the Tax Deducted at Source lines. Confirm the two agree before you use this report for anything official.
- A person with no row deducted no tax in the range, or is not on the tax component at all.
Tips and common mistakes
- Nothing here is checked against the tax paid to the authority. This is what was withheld from pay, not what was remitted.
- If every total is zero, or the report is empty while slips clearly show tax, the cause is the component setting described above, not your data.
