A request to correct one day of somebody's attendance, such as a missed punch, an agreed late arrival, or a day spent away from the office.
When to use it
When an employee says a single day was recorded wrongly and wants it put right, and you want the request and the decision kept on record.
Before you start
The employee must exist. Decide who will record the decision, because this screen does not send the request to anybody.
Where to find it
Open the HR area from the main menu, then Attendance, then Attendance Regularization.
The fields on this screen
| Section | Field (on screen) | What to enter | Required |
|---|---|---|---|
| Request | Employee | The employee whose attendance day is being corrected. | Yes |
| Request | Date | The attendance date being corrected. One request covers one day. | Yes |
| Request | Requested In | (not explained yet) | No |
| Request | Requested Out | (not explained yet) | No |
| Request | Reason | Why the correction is needed, such as a missed punch or fieldwork. The approver reads this. | Yes |
| Approval | Status | Where the request stands: pending, approved or rejected. Setting it does not change the attendance record. | No |
| Approval | Approver | The person who decided this request. Set it yourself - this screen does no approval routing. | No |
| Approval | Approved On | When the request was decided. Fill it in yourself when you set the status. | No |
| Approval | Rejection Reason | Why the request was turned down. Fill it in when you reject, so the employee knows. | No |
How it works
Saving records the request. Setting it to approved records your decision. Neither does anything else.
An approved request does not change the day. It does not touch the attendance grid, it does not create a punch, and it does not reach the payroll totals. Nothing is sent to an approver and nobody is notified. The screen is a written record of what was asked and what was decided.
Apply the correction yourself
The request only records the decision, so make applying it part of the same task:
- Record the request here, then set the status and the decision date yourself.
- Go to Attendance Finalize, pick the same period, find the employee's row and the day, and set the day and its hours there.
- Save the change on that screen. That is the moment the correction becomes real.
If the period has already been finalized, reopen it first. If salary slips have already been made for it, delete them and run payroll again.
Tips and common mistakes
- One request covers one day. Raise a separate one for each day.
- Fill in the rejection reason when you turn one down. It is the only thing the employee has to go on later.
- Do not use pending requests as a to-do list. Nothing on this screen chases them, and nothing stops the period being finalized with them outstanding.
