PDC Ageing

Last reviewed

Every open cheque grouped by how far it is from, or past, its due date, with what is still outstanding on each. A held cheque that the customer is paying off in parts shows its remaining balance.

When to use it

  • To see which cheques are overdue for banking, and by how long.
  • To see how much money is coming in over the next week or month.

Where to find it

Reports > Banking > PDC Ageing.

The fields on this screen

Field (on screen) What to enter Required
Direction Received (customers' cheques, the default) or Issued (your cheques) No
Ageing band Show one band only, for example "Overdue 1-30" No
PDC Only post-dated cheques, or only the others No
Bank The bank the cheque is drawn on. Blank for every bank No

Reading the result

  • Cheques are grouped into bands: Overdue over 90, 61-90, 31-60, 1-30, Due today, Due in 1-7, 8-30, after 30 and No due date, each with a subtotal.
  • Days to due is negative for an overdue cheque.
  • Face is the amount on the cheque. Collected is what part payments have already covered, and Outstanding is what is left.
  • Held / voucher tells a cheque that is only held (captured, no receipt yet) from one already on a posted receipt.
  • Bank is the bank the cheque is drawn on (blank when it was never recorded). Collector is who captured a held customer's cheque (blank for every other cheque). Both headers have a pick-list of the names in the report.
  • Action is the next step: Deposit (a customer's cheque) or Present (your own). Receive from collector means the cheque is still with the collector who captured it (status With collector), and the office must receive it first. Collector to correct means the office sent it back to the collector (status Sent back).

Tips and common mistakes

  • Cleared, void and written-off cheques are not open and do not appear.
  • A cheque on hold is aged from the date the party asked you to present it on.
