Customer Onboarding

Last reviewed

A guided, step-by-step way to register a new rental customer: the customer record, the shutters they occupy with their services and rates, and the fine or discount policy that applies to them.

When to use it

When a new tenant takes a shutter. It is a shortcut through three screens you would otherwise fill in one by one, and it makes sure you do not miss any of them.

Before you start

  • The Shutter, Block and Floor must exist, along with the Service heads and rate types you charge.
  • Any Discount Policy you want to attach must already be set up. Policies are created on their own screen, not inside this flow.
  • You need rights on the customer, tenancy and policy screens. Each step saves through the normal screen and is checked the same way.

Where to find it

Masters > Rental > Customer Onboarding.

The fields on this screen

How it works

  1. Customer: a shorter version of the customer form, with name, group, contact details and documents such as the agreement scan or the PAN copy. The rental settings are preset, so billing can see the new customer from the start. If the customer already exists, pick them instead of creating a duplicate.
  2. Tenancy and Services: one record per shutter, with the shutter, the period, and the Services and Rates rows underneath it. When you save, you stay on this step with a fresh form so you can add the next shutter. The ones already saved are listed above. The customer is filled in for you and cannot be changed here. Active is preset on, because only active tenancies are billed.
  3. Fine and Discount: one entry per service, naming the policy that applies. This step is optional. Where nothing is set, the workspace default is used.
  4. Done: a summary and a link onward.

Each step saves a real record on the screen behind it, exactly as if you had opened that screen yourself. Anything created here can be found and edited there later.

This flow does not bill anything. Registration ends where billing begins: go to Bill Generation and run the charge generation there. The next run picks up the customer and every service saved here.

Tips and common mistakes

  • When the customer is already on file, use Pick existing on the first step, or you will end up with two customer records.
  • Each shutter needs its own tenancy record. A customer with three shutters goes through the second step three times, not one record with three rows.
  • Leave Active ticked on the tenancy. Billing skips an unticked tenancy, which is an easy way to end up with no bills at all.
  • If you close the flow part way, what you have already saved stays in place. Nothing is rolled back.
