A dated list of every accounting entry posted in a period: each voucher's debit and credit lines, in date order, with the ledger it affected and a running total of debits and credits.
When to use it
Daily, or for any date range, to review exactly what was posted and to confirm that each day's entries balance (total debit equals total credit).
Before you start
- Vouchers for the period are entered and posted. Drafts do not show here.
- You need report access for Finance.
Where to find it
Reports > Finance > Day Book (the "Voucher Register" view is the same report).
The fields on this screen
| Field (on screen) | What to enter | Required |
|---|---|---|
| From Date | Start of the period | No (defaults apply) |
| To Date | End of the period | No (defaults apply) |
Running the report
- Open Reports > Finance > Day Book.
- Set From Date and To Date.
- The report lists every posted line: Date, Voucher Number, Voucher Type, Ledger, Narration, Debit, Credit, with debit and credit totals at the bottom.
Open a voucher from a row
Double-click any row to open that voucher's Process Chain. This panel shows the full document trail (for example Sales Order -> Sales Invoice -> Receipt), each step's status and history, and any attachments. Click Open on a card to open that voucher itself, or Print / PDF to print the chain. You only see vouchers you have permission for.
Reading the result
- The report shows only financial vouchers (Sales, Purchase, Receipt, Payment, Journal, Contra). Stock-only documents such as Sales Orders, Purchase Orders, Challans and GRNs are not listed here. Use the matching stock, sales or purchase report for those.
- The Debit total and Credit total at the bottom should match for a balanced period.
Worked example
Set From Date and To Date to the same day. You see that day's invoices, receipts, payments and journals, each as debit and credit lines, with equal debit and credit totals.
Tips and common mistakes
- Only posted vouchers appear, so post your drafts first.
- A blank Voucher Number on a Journal means it was entered without a number.
- To see one account's running balance over time, use the Ledger report instead.
