The list form of the Books Health check. It shows the vouchers and parties the check flagged: unbalanced postings, ledger lines with no account behind them, posted vouchers that produced no accounting entries, stale drafts, and transacting parties with no PAN.
When to use it
When the Books Health banner says there are issues and you want a printable, filterable list to work through rather than a set of cards. Also at month end, before you close, to clear anything that would distort the Trial Balance.
Before you start
- Vouchers for the period are entered. You do not need to post them first. Stale drafts are one of the things this report finds.
- You need view access to the Audit reports.
Where to find it
Reports > Audit > Books Health Issues.
The fields on this screen
| Filter (on screen) | What it does |
|---|---|
| Issue | Show one kind of problem only. Leave it blank to list every kind Books Health found. |
The choices are: Unbalanced posted voucher, GL lines with no ledger, Posted voucher with no GL lines, Stale draft voucher, and Transacting party with no PAN.
Running the report
- Open Reports > Audit > Books Health Issues.
- Leave Issue blank for everything, or pick one kind to work through it on its own.
- Work down the list. Each row names the voucher (or the party) you need to open.
How it works
- Each row is one problem, not one voucher, so the same voucher can appear under two headings.
- Issue names the problem and sets the seriousness. An unbalanced posted voucher is an error: its debit and credit do not agree, and it is why a Trial Balance will not tie.
- Debit, Credit and Difference are filled only for the balance checks. Difference is debit minus credit for that voucher, so a positive figure means the debit side is heavier.
- Lines means different things per row: for an unbalanced voucher it is the number of accounting lines; for "GL lines with no ledger" it is how many of those lines have no account.
- Days old appears only on stale drafts, counted from the voucher date to today. A draft older than 30 days is listed.
- Vouchers and Last txn appear only on the party rows: how many posted vouchers that party already has, and the most recent one. Those two tell you whether the missing PAN matters yet.
- You fix a row on the source screen: reopen the voucher, or open the party in the Ledger master and enter the PAN. Nothing is corrected from this report.
- The report is read-only. Rerun it after your fixes and the row should disappear.
Tips and common mistakes
- A blank line count on a balance row does not mean zero lines. It means that check does not use the column.
- Clearing stale drafts is not the same as deleting them. Post the ones that are real and delete only the ones that were abandoned.
