The detail behind the salary slips: one line for every pay component on every slip. It shows exactly what made up somebody's Basic, allowances, Provident Fund and tax.
When to use it
When a member of staff queries their pay, when you need to prove how a gross figure was built, or when you want the total paid under one component across the whole company.
Before you start
- Salary slips must have been generated for the period you want.
- Pay components must be set up in the salary component master.
- You need report access for Human Resource.
Where to find it
Reports > HR & Payroll > Salary Pivot. It is also on the menu under ERP > Human Resource.
The fields on this screen
| Filter (on screen) | What it does |
|---|---|
| Employee | Limits the report to one employee. Leave it blank to include everyone. |
| Payroll Period | Limits the report to one payroll period. Leave it blank to include every period. |
| Department | Limits the report to one department. Leave it blank to include every department. |
| Branch | Limits the report to one branch. Leave it blank to include every branch. |
Reading the report
- Each row is one component of one slip, not one slip. A person on six components gives six rows for the month, so you will see several rows per employee.
- Amount is that component's value on that slip. Earnings and deductions both show as positive figures, and nothing on the row says which is which. You have to know the component: Provident Fund and Tax Deducted at Source are deductions; Basic, allowances and overtime are earnings.
- For the same reason, a person's Amount total is neither their net pay nor their gross pay. Take gross, deductions and net from Salary Sheet, and use this report to explain them.
- Sort or group on Component to get the company total paid under one heading for the period.
- Set Payroll Period. If you leave it blank, every month of every year is stacked into one list.
Tips and common mistakes
- If a component is missing for one person, it was usually not attached to them on the pay structure. The report did not drop it.
- When you answer a pay query, filter to one Employee and one Payroll Period. That gives you exactly the lines on that person's slip.
