A list of the goods recorded as received on Goods Receipt Notes: the date, the item, the quantity, and the cost centre and location it was received against.
When to use it
To check what the store says arrived: before the supplier's bill is processed, or when a delivery is disputed.
Before you start
- Goods Receipt Notes must be entered. Products, cost centres and locations must exist in their masters.
- You need report access for Inventory.
Where to find it
ERP > Inventory > Goods Receipt Note Report.
Filters
This report has no filters. It lists every Goods Receipt Note line ever recorded.
Reading the report
- Every row is one received line, not one receipt note. A delivery of six items is six rows sharing a date.
- Qty is what the store recorded as received. It is not totalled, because the rows are measured in different units.
- Cost Center and Location are what the receipt was booked against. A blank location means the receipt was entered without one.
- This report does not show stock. A Goods Receipt Note records an arrival; it does not move stock on to the ledger. That is why nothing received here appears on the Stock Ledger, the Stock Summary or the Stock Transaction report. The Purchase Invoice is the document that brings the goods into stock and on to the accounts.
- Because there is no date range, the list runs back over the whole history and grows without limit. Sort on the Date column to find a period.
- Receipts still in draft are included alongside completed ones.
Tips and common mistakes
- Comparing this report against Stock Summary will never reconcile, by design. Compare it against your Purchase Invoices instead: a receipt with no matching invoice is goods you hold but have not been billed for.
- Quantities here are as typed on the receipt. If a receipt was entered in a different unit from the one the item is stocked in, the figure here is in the typed unit.
