Stock Transaction

Last reviewed

A flat list of every stock movement in a period, across all items: what came in, what went out, and what it was worth.

When to use it

When you want the whole month's stock activity in one place instead of one item at a time. It suits a review, an export, or finding a movement when you are not sure of the item.

Before you start

  • Stock documents must be entered. Products must exist in the Product master.
  • You need report access for Inventory.

Where to find it

ERP > Inventory > Stock Transaction.

Filters

Filter (on screen) What it does
From Date Start of the period this report covers.
To Date End of the period this report covers.
Item Narrows the list to one item. Leave it blank to see every item that moved.

Reading the report

  • Every column here is a movement, and there is no running balance. In Qty and In Amount are what came in on that line. Out Qty, Out Amount and Issue Amount are what went out. Nothing on this report tells you the stock on hand; use the Stock Ledger for that.
  • All five figure columns are totalled at the foot. Those totals are the point of the report: the period's total receipts and total issues. The quantity totals mix items measured in different units, so read the money totals across items and the quantity totals only within one item.
  • Voucher Type tells you what kind of document caused the movement. It is the quickest way to see whether a month's outflow was sales, consumption or returns.
  • If you leave Item blank you get everything that moved, which is a long list in a busy month. Set the dates before you run it.
  • Goods Receipts do not appear. A receipt note records an arrival but does not move stock; the Purchase Invoice does.
  • Draft documents are included, so a total here can be ahead of the accounts.

Tips and common mistakes

  • If a movement is here but not on the Issue Register, it is either not a consumption document or not yet posted.
  • Rows are grouped for reading, so blank separator lines between groups are normal.
