The list of voucher kinds your system can record: Payment, Receipt, Journal, Contra, Purchase, Sales, Goods Receipt, Production and so on. Every voucher you create is one of these types. The type decides which number series the voucher uses and how it is grouped in reports.
When to use it
For the standard kinds, hardly ever: your system already ships with the full set of 28 types. Add a Voucher Type only when your company has a special document flow that the standard list does not cover.
Before you start
- The Numbering series and Voucher Category you want must already exist (both are required).
- You need an admin or accounts role.
Where to find it
Masters > Vouchers > Voucher Type.
The fields on this screen
| Field (on screen) | What to enter | Required |
|---|---|---|
| Voucher Type Name | Name of the voucher type as users will see it when choosing one. | Yes |
| Voucher Numbering | Which numbering rule this voucher type uses. | Yes |
| Voucher Category | Which part of the system this voucher belongs to, such as Accounts or Inventory. | Yes |
| Narration Set | The set of ready-made notes a new voucher of this type starts with. Leave it blank to start empty. | No |
| VT Code | Short code for this type, such as JV or PV. It is not checked for duplicates. | No |
The standard types
Your system comes with the usual voucher types already set up: Purchase, Sales, Journal, Receipt, Payment, Contra, Purchase/Sales Return, Debit/Credit Note, Production Order, Goods Receipt, Purchase/ Sales Order, Quotations, Gate In/Out, Material Requisition, Consumption, Production, Petty Cash and more. They are shared and ready to use, so you do not need to create them.
Adding a record
- Check that the Numbering series and Voucher Category you need already exist.
- Open Masters > Vouchers > Voucher Type.
- Click Add / New.
- Enter the Name and pick the Numbering series and the Category. A Narration set and a Code are optional.
- Click Save.
Changing or deleting a record
- You can edit or delete the types your own company added.
- The standard shared types cannot be edited. If you need a variation, add a new type of your own.
Tips and common mistakes
- Numbering or Category dropdown empty? Set up at least one Numbering series and one Voucher Category first.
- You rarely need to add a type, so check the standard list before creating one.
