Stock Ledger

Last reviewed

A per-item ledger with a running balance: every movement in and out of one item, in date order, with the stock on hand after each one.

When to use it

When you need to explain a stock figure: why an item shows the quantity it does, when it last moved, and which document moved it.

Before you start

  • Leave Item blank to get every item, or pick as many as you want.
  • The stock documents must be entered. Products must exist in the Product master.
  • You need report access for Inventory.

Where to find it

Reports > Inventory > Stock Ledger. It is also on the menu under ERP > Inventory.

The fields on this screen

Filter (on screen) What it does
Item Pick one or more items, or leave it blank for every item you hold. The ledger runs a separate balance for each one.
From Date Start of the period this report covers.
To Date End of the period this report covers.

The report opens with its filters ready and waits for you to click Apply: pick an item, or leave Item blank for every item, then click Apply. If you open it by double-clicking a product on a voucher, it runs straight away.

Reading the report

  • The report is grouped by item. Each item has a heading, its own Opening Balance row, all its movements in date order, and a subtotal of the In and Out columns. One block is that item's ledger, and the balance column never carries across a heading.
  • There is no grand total, on purpose. Different items are counted in different units, and adding sheets of plywood to kilograms of steel gives a number that means nothing. Read the per-item subtotals.
  • In Qty and Out Qty are the movement on that one line. Bal. Qty is the running total after it. Read a movement column to see what happened, and the balance column to see what was on hand.
  • The running balance includes everything from before your From Date. Ask for one month and the first row's balance already holds the whole earlier history. That is what makes it a true stock position, not only a month's movement. Do not add up the balance column.
  • Bal. Amount works the same way for value: receipts add, issues subtract, and the figure runs on.
  • In Qty and Out Qty are in the item's own stock unit. Entered Qty and Entered In show what was actually typed on the document, so a line entered in cartons and held in pieces shows both.
  • The balance is kept separately for each organization, and this screen has no organization chooser. An item that moves in more than one organization has more than one balance. You will see more than one Opening Balance row under that item's heading, one per organization. That is correct, not a duplicate. The movements still mix together by date, so the balance column can seem to jump backwards. When that matters, use Stock Ledger by Unit, which has an Organization filter.
  • Goods Receipts do not appear here. A receipt note records what arrived; it does not move stock. The Purchase Invoice is what brings the goods on to the ledger.
  • Draft documents are included. If the balance disagrees with the shop floor, look for an unposted document before you assume the report is wrong.

Tips and common mistakes

  • If you pick several items at once, each gets its own balance. That is fine for reading, but do not total the balance column across items.
  • Dates are entered in the English calendar. The Miti column shows the Nepali date of each line.
