Cheque Register

Last reviewed

Every cheque you issued and received, showing how far each one has got (booked, in clearing, cleared, bounced or void) and when it cleared.

When to use it

  • To look up any cheque by number, party or date.
  • To list the cheques still waiting for the bank, for a bank reconciliation.
  • To review cheques marked cleared by hand, without a bank statement.

Where to find it

Reports > Banking > Cheque Register. The same module has four ready-made versions of it: Outstanding Cheques (not yet cleared), PDC Register (post-dated cheques and their dates), Bounced Cheques (bounced and waiting for a decision) and Manual-Clear Audit (cleared without a bank statement).

The fields on this screen

Field (on screen) What to enter Required
From Date Start of the period. Defaults to the start of the fiscal year No
To Date End of the period. Defaults to the end of the fiscal year No
Direction Received (customers' cheques) or Issued (your cheques). Blank for both No
Status Outstanding (booked + in clearing), Booked, In Clearing, Cleared, Bounced, With collector or Sent back. Blank for all No
PDC Only post-dated cheques, or only the others No
Cleared By How a cleared cheque was cleared: from a bank statement, or by hand No
Bank The bank the cheque is drawn on. Blank for every bank No

Reading the result

  • Bank is the bank the cheque is drawn on: the one picked when the cheque was captured, or the one on the receipt that booked it. It is blank when neither recorded a bank.
  • Collector is the person who captured a customer's cheque that is only held (no receipt yet). It is blank for every other cheque.
  • The Bank and Collector column headers each have a pick-list of the names in the report, to show one bank's or one collector's cheques.
  • With collector means a collector captured the cheque and still has it: the office must receive it before anything else. Sent back means the office returned it to the collector to correct.

Running the report

  1. Open the report and set the dates.
  2. Narrow it with Direction, Status or PDC if you need to.
  3. Click Apply. Print, or export to PDF or Excel, from the report toolbar.

Tips and common mistakes

  • A held cheque that was only captured, with no receipt yet, is listed on PDC Cheque Received (Memo) and in PDC Ageing.
  • Review Manual-Clear Audit regularly: those cheques were declared cleared by a person, and a bank statement should confirm them.
