A Sales Invoice is the bill you raise on a customer for goods sold. It is the financial event. When you post it, the system records what the customer owes you, the sales revenue, the VAT you collected, and the stock that went out.
When to use it
- You have sold goods to a customer and need to bill them and book the revenue.
- You want the VAT output recorded on your VAT register for the maskebari.
Before you start
- The customer must exist in your Chart of Accounts and have a PAN. The form blocks a VAT invoice for a customer without one, and gives you a link to fix the master.
- The products must exist in the Product master.
Where to find it

How it works
- Create the invoice. Pick the customer and add the item lines (or pull from a Sales Order / Challan), then save. It is numbered (SV-...).
- Submit, then Approve.
- Post it. Posting books Credit Sales for the goods, Credit VAT Output for the tax, and Debit the customer for the total. It also records the stock out and the VAT register entry.
- When the customer pays, mark it Paid. The actual cash is recorded on a Receipt Voucher.
Use Reverse Post to undo a posted invoice, and Cancel for a draft.
Worked example
Bill Lalitpur Retail for 10 Steel Rods at 150 each (13% VAT):
- Create: Customer = Lalitpur Retail, line Product = Steel Rod, Qty = 10, Rate = 150. Amount = 1,500; VAT = 195. Save. It is numbered SV-000001.
- Submit, Approve, Post. The system books Dr Lalitpur Retail 1,695, Cr Sales 1,500, Cr VAT Output 195, which balances.
Tips and common mistakes
- Customer, Date, Site, and each line's Product and Qty are required.
- The customer needs a PAN for a VAT invoice.
- The customer field accepts only a real Customer, not a Vendor from your Purchase side. The system tells you if the party you picked is the wrong type.
- You need at least one product line to save. An empty invoice is refused straight away, not only when you try to post it.
- Quantity, Rate and Amount must be real numbers greater than zero.
- Posting is what books the sale. A draft or approved invoice has not reached the ledger yet.
- The invoice total you see is the goods value, without VAT. VAT is added on top in the customer's receivable.
