VAT Register Issues

Last reviewed

VAT register rows that would misstate the statutory return: tax that does not match the invoice line rates, no filing period, no transaction type, or no rate that can be worked out.

When to use it

Before you file the VAT return for a month. Run it, clear what it lists, then print the VAT Register itself.

Before you start

  • Sales and purchase invoices for the month are entered.
  • You need view access to the Audit reports.

Where to find it

Reports > Audit > VAT Register Issues.

The fields on this screen

Filter (on screen) What it does
Issue Shows one kind of problem only. Leave it blank to list every kind found in the register.

The choices offered are: VAT does not match the line rates, No filing period, No transaction type, and VAT rate could not be determined.

Running the report

  1. Open Reports > Audit > VAT Register Issues.
  2. Leave Issue blank to see everything, or pick one kind.
  3. Open each listed voucher from its own entry screen and correct it.

How it works

  • Taxable and VAT charged are what the register holds for that row. Expected VAT is worked out again from the invoice's own item lines: each line's amount times that line's VAT rate.
  • Variance is VAT charged minus Expected VAT. Only a difference of more than one rupee is listed, so rounding does not fill the report.
  • Rate % is VAT charged divided by Taxable, and it is the quickest check. 13 is normal. Anything else means the invoice mixed rates or the tax was typed over.
  • No filing period means the row has no Maskebari month or year, so it will drop out of the return even though the invoice exists. No transaction type means it cannot be classified as local, import or export.
  • VAT rate could not be determined means the invoice has tax but none of its item lines has a rate, so there is nothing to check against.
  • If you leave Issue blank, you also see rows the choices do not cover, such as a register row whose voucher is not posted, was deleted, or holds no amounts at all.
  • Nothing is corrected here. Fix the invoice, and the register row follows.

Tips and common mistakes

  • A variance of exactly the VAT on one line usually means a line was added after the tax was typed in by hand. Reopen the invoice and let it recalculate.
  • Clear this report before the VAT Register, not after. The register will still print a row that this report has flagged.
