The month's attendance grid: one row per employee, one square per day. Here you set and sign off the working days behind everybody's pay.
When to use it
Every payroll period, after the days are known and before you run payroll. Nothing can be paid until this screen has been finalized for the period.
Before you start
The payroll period must exist. Employees must exist, and each one must be linked to their sign-in account, or their days cannot be picked up. Approved leave for the period should already be recorded. You need rights to create on this screen; the same grant lets you read the grid and finalize it.
Where to find it
Open the HR area from the main menu, then Payroll, then Attendance Finalize.
The fields on this screen
How it works
- Pick a Period at the top. Add a Branch or Department if you want to work through one part of the organization at a time.
- Click Initialize for period. A row appears for every employee in scope, and every day is filled in as present, leave, week off or absent.
- Correct the grid. Select a range of squares and use Mark Present, Mark Absent, Mark Leave, Mark LOP or Mark Week Off, or open one square to set the day and its worked and overtime hours. Click Save changes.
- Click Finalize period. Payroll refuses to run for anybody whose attendance is still draft, so this is the gate. You can also finalize one employee from the chip at the end of their row.
Reopen period puts the period back to draft so you can edit again. Reopening does not undo salary slips already made for the period. If slips exist, delete them, reopen, fix the days, finalize again and run payroll again.
Payroll pays on whatever the totals on each row say at the moment you finalize. The loss of pay total is the figure that moves money: each such day cuts the person's pay by a day's share of gross.
What the fill-in does not know
The first pass is a starting point, not an answer. There are four things it will not do for you.
Phone punches are not read. Attendance marked in the mobile app is stored separately, and this grid is not built from it. If your staff mark attendance on their phones, everybody comes up absent and you must set the days yourself.
Public holidays are not filled in. The holiday list under Setup is not consulted here. A public holiday arrives as absent, and absent counts as loss of pay, so a holiday nobody corrects quietly cuts everyone's salary. Set those days to Holiday yourself. There is no bulk button for it: open each square and choose Holiday from the day type.
Saturday is the week off, for everybody. There is no setting for a different weekly off day. If your week off falls on another day, mark those days Week Off by hand.
Anything not present, leave or week off is loss of pay. Absent days count as loss of pay automatically, and nobody is asked to confirm it.
Tips and common mistakes
- Read the loss of pay figure on every row before you finalize. It is the number that changes what people are paid, and it is the cheapest thing to check.
- Work branch by branch or department by department, and finalize each batch. Avoid sweeping the whole organization in one go.
- Do not type totals straight onto the Period Attendance screen. Corrections belong on this grid. A figure typed there is replaced the next time day changes are saved here.
