Approved Leave

Last reviewed

Approved leave applications: who took leave, of what type, on which dates, and for how many days.

When to use it

To check a person's leave history, answer a question about a leave balance, or match absence against a payroll run.

Before you start

  • Leave applications must exist and must have been approved (the Approved tick on the application).
  • Staff and leave types must exist in their masters.
  • You need report access for Human Resource.

Where to find it

Reports > HR & Payroll > Approved Leave. It is also on the menu under ERP > Human Resource > Leave Report.

The fields on this screen

Filter (on screen) What it does
Employee Limit the report to one employee. Leave it blank to include everyone.
Department Limit the report to one department. Leave it blank to include every department.
Branch Limit the report to one branch. Leave it blank to include every branch.
Employee (second chooser) Limit the report to one employee. Leave it blank to include everyone.

Reading the report

  • Only applications with Approved ticked reach this report. Approval is what makes those days count as leave on attendance and in payroll, so a day missing here was never approved.
  • From, To and their Miti twins are the same dates in the English and Nepali calendars.
  • Days is the figure recorded on the application. It is not recalculated from the dates, so an application entered with the wrong day count carries that error through to payroll. Spot-check it against the From and To dates.
  • There is no date range on this report: it lists every approved application, not only this year's. Narrow by Employee or Department, then read the dates.
  • Reason is the applicant's own note.

Tips and common mistakes

  • The screen shows two Employee choosers. Use the first one. It matches the staff record named on the application.
  • A long list is normal because there is no period filter. Sort on the From date to find a year.
  • Leave still waiting for a decision is not here. See Unapproved/Rejected Leave.
