One printed line of a financial statement, and the sources that make up its figure.
When to use it
- After adding a line on the Financial Statement screen, to say where its number comes from.
- When a line on the Balance Sheet or Profit and Loss shows the wrong amount and you need to see what it is collecting.
Before you start
The statement the line belongs to must already exist. So must the statement or account group the line will collect from, because you pick it here.
Where to find it
Setup > Report Setup > Financial Statement > Statement Row.
The fields on this screen
| Section | Field (on screen) | What to enter | Required |
|---|---|---|---|
| Row | Statement | which statement this row belongs to | No |
| Row | Title | The wording of this line as it prints in the Particulars column. | No |
| Row | Row Type | Title, normal line, subtotal or grand total. A grand total gathers its own sources, so leave them empty. | No |
| Row | Dr / Cr | leave blank to inherit from the statement | No |
| Row | Static Value | A fixed value or label to print instead of the calculated one. Leave it blank to show the worked-out total. | No |
| Row | Display Order | Where this line sits in the statement. Lower numbers print first. | No |
| Row | Hide row | (not explained yet) | No |
| Sources | Source | Account Groups / Trial Balance / a section | No |
| Sources | Source Line | pick Source first, then the line | No |
| Sources | Operator | How this source is combined into the line total - add, subtract, multiply or divide. | No |
| Sources | Column | 0 = net balance | No |
How it works
The Sources grid is the formula for the line. Each source names where a figure comes from: the Trial Balance, the account groups, or a line on another statement. The Operator says whether that figure is added, subtracted, multiplied or divided into this line's total. A line with no sources prints nothing.
- Pick the Source first, then the Source Line. The second list is narrowed by the first, so choosing them the other way round leaves you with the wrong options.
- Column 0 is the net closing balance, which is what an ordinary statement line wants. The other columns take the opening or the movement side instead. A schedule showing "opening, additions, closing" is built from those.
- A Grand Total line builds its own source list, so leave the grid empty on one. Adding sources by hand there counts them twice.
- A line that reads from another statement needs that statement worked out first. Keep the statement being read earlier in the set than the one reading it, or the reading line comes out empty.
- Static Value prints a fixed value or wording instead of the calculated figure. It does not add to the figure, it replaces it, so leave it blank unless you really want the calculation ignored.
- Hide row keeps the line and its sources but leaves it off the print. It is the safe way to retire a line without losing what it was collecting.
- The same lines also appear in the Statement Rows grid on the Financial Statement screen, but the sources can only be edited here.
Changes apply the next time the report is run, for every period including past ones. A statement is rebuilt from this setup each time; nothing is frozen per year.
Tips and common mistakes
- A line reading zero usually has no sources, not a wrong source. Open it and look at the grid before hunting through the vouchers.
- Subtract instead of flipping Dr / Cr when you want to take one figure off another. Changing the side flips everything the line collects, not just the one source.
- Deleting a line that another statement reads from leaves the reading line empty, with nothing to say why.
