BOQ vs Actual

Last reviewed

For each bill-of-quantities line: the contract value at the revised quantity, what has been certified to the client, the balance remaining, and what is already committed to subcontractors.

When to use it

Mid-project, to see how much of each item has been billed to the client and how much of it you have already promised away to subcontractors.

Before you start

  • The project exists as a project cost centre and its bill of quantities has been entered.
  • RA bills and subcontract awards were raised by picking the bill-of-quantities line, not by typing the item in freehand.
  • You need view access to the Construction reports.

Where to find it

Reports > Construction Co. > BOQ vs Actual.

The fields on this screen

This report has no filter controls. Every project you can see is listed together; use the column search above the grid, or the organization selector, to narrow it.

How it works

  • One row is one item line of one project's bill of quantities.
  • Contract Qty is the revised quantity, so a signed variation order is already reflected. It is not the tendered quantity. Contract Amt is that revised quantity times the Rate.
  • Certified Qty and Certified Amt are what has been drawn onto RA bills against this line. The money is valued at the rate on the RA bill, not at the contract rate, so a bill certified at a different rate shows the amount actually certified.
  • Balance Qty is Contract Qty less Certified Qty, and Balance Amt values that balance at the contract Rate. It is what you can still bill the client for on this line.
  • Committed is what you have awarded to subcontractors on this line, less what they have already billed you. It is work you have promised and not yet been charged for. A line that looks profitable on billing alone may not be, once you read Committed alongside it.
  • Quantities are taken from the link a bill or award records back to the bill-of-quantities line. Work billed without picking that line does not appear here. The report then understates progress and overstates the balance, which is the safe direction: it reads as more left to do, never as an item finished.
  • Nothing is posted from this report.

Tips and common mistakes

  • A line showing full Contract Qty and nil Certified is either genuinely unstarted or was billed freehand. Check the RA bill before you chase the site.
  • Certified Amt above Contract Amt on a line means it has been over-billed against the contract quantity. Raise a variation order rather than leaving it.
