Certificate

Last reviewed

Proof that a learner completed a course, with the date it was issued and the date it stops counting. Certificates are issued for you. This screen is where you look them up and correct them.

When to use it

When somebody asks who is currently certified, when a client or an auditor needs a certificate number, or when you are checking who is coming up for retraining.

Before you start

The learner's Enrollment must have been completed; nothing is issued before that. You need view rights on this screen, and update rights if you want to correct a record.

Where to find it

Knowledge and Training > Certificate.

The Knowledge and Training group is switched off in the main menu for now, so the entry is not shown. Until it is switched back on, open the screen from a link someone sends you or from a saved bookmark.

How it works

You do not add a certificate here, and the screen has no Add button. One is created automatically the moment a learner's enrolment is completed. The number, the learner, the course and the issue date are all filled in for you, and the expiry is worked out from the course's Validity (months). A course with no validity set issues a certificate that never expires.

There is only one valid certificate per enrolment, so running the completion check again does not produce a duplicate.

When the expiry date has passed, the recheck sweep marks the certificate Expired. It also sets the learner's enrolment back to expired, which is the signal to enrol them again. Revoked is there for you to set by hand when a certificate has to be withdrawn.

Tips and common mistakes

  • You cannot record an older paper certificate on this screen. The form does not ask for the enrolment the certificate belongs to, and a certificate cannot be saved without one. To create a historic record, enrol the learner and complete the course.
  • Correct a certificate instead of deleting it. An expired certificate is your evidence that the person was once trained.
