Stock Summary by Unit

Last reviewed

Stock balances shown in the unit you choose: gram, kilogram, ton, or any unit in the same family as the item's own stock unit.

When to use it

When you need the stock position in the unit your supplier, customer or production team uses, not the unit it is held in at the store.

Before you start

  • Pick the unit first. It cannot be left blank.
  • The unit must have a conversion set up to the item's own stock unit.
  • You need report access for Inventory.

Where to find it

Reports > Inventory > Stock Summary by Unit. It is also on the menu under ERP > Inventory.

The fields on this screen

Filter (on screen) What it does
Show in Unit Restates quantities in this unit. Base Unit shows each item in its own stock unit.
Product Limits the report to one product. Leave it blank to include every product.
Location Limits the report to one location. Leave it blank to include every location.
Organization Limits the report to one organization. Leave it blank to include every organization you can see.

Reading the report

  • In Qty, Out Qty and Closing Qty are the ordinary stock figures multiplied by the conversion rate for the unit you picked. Closing Qty is still In minus Out.
  • Value does not change with the unit. The same goods are worth the same money in kilograms or in tons, so Value stays put while the quantities scale.
  • There is no date range. This is the position as things stand now, not at a chosen date.
  • There is one row per item, location and chosen unit. Only items whose stock unit converts to that unit are listed. Switching from a common unit to a rare one can shorten the list sharply. That means a missing conversion, not missing stock.
  • The Closing Qty total at the foot adds quantities that are now all in the same named unit. That makes it readable in a way the plain Stock Summary total is not. It still only means something when the items are truly comparable.
  • Unit Mismatch Rows counts movements entered in a unit with no conversion to the item's own unit. Those were counted as if no conversion were needed. Any count above zero means that row's quantity cannot be trusted.
  • Goods Receipts are not stock movements and are not counted. Draft documents are.

Tips and common mistakes

  • Choose Base Unit to get the plain Stock Summary figures back.
  • If the Value looks wrong but the quantity looks right, the problem is costing, not the unit. See Stock Summary.
