Fleet Compliance Tracker

Last reviewed

Every compliance document held for your vehicles (insurance, bluebook, pollution certificate, route permit, vehicle tax), with the date each one runs out.

When to use it

Monthly, to see what is about to expire, and before a vehicle goes out on a long trip.

Before you start

  • The vehicles exist in the fleet register.
  • Their documents have been recorded on the Compliance screen, with issue and expiry dates.
  • You need view access to the Vehicle Management reports.

Where to find it

Reports > Vehicle Management > Fleet Compliance Tracker. The same records are entered from Fleet > Compliance.

The fields on this screen

Filter (on screen) What it does Required
Vehicle Limit the report to one vehicle. Leave it blank to include every vehicle. No
Type Limit the report to one document, such as insurance or bluebook. Blank includes every type. No
Status Where the document stands now: still valid, lapsed, being renewed, or cancelled. No

How it works

  • One row is one document for one vehicle, so a vehicle with insurance and a permit takes two rows. A vehicle whose documents were never recorded does not appear at all.
  • Expires is the date that matters. Sort on it to get the renewal queue in order. Nothing on this screen counts the days for you.
  • Status is what somebody set on the record, not something worked out from the expiry date. A document whose expiry has passed still reads Active until it is changed, so treat Expires as the fact and Status as the note.
  • Amount is what was paid for that document. The column carries a total, which gives you the year's compliance spend when you read it alongside the dates.
  • Issuer and Document # are what you quote when renewing.
  • Nothing is renewed from this report. Record the renewal on the Compliance screen and a new row appears.

Tips and common mistakes

  • Leave Status blank when you are looking for lapses. Filtering to Active hides exactly the rows whose expiry has already passed but whose status was never updated.
  • A vehicle with no rows is not compliant. It is unrecorded. Check the list against the fleet register.
